Sharebox - Functionality

End users that have a login for Alfresco Share can share content for a folder where they have write permissions. This can be limited by an administrator to specific users, groups, or specific Sites.

You can exclude files or folders based on document type or aspect by default, and end users cannot override this. There is also a menu action to exclude from sharing, if applied to a folder within a share, any content in this folder or subfolder will be excluded.

Yes, a system administrator can set a limit on file size, both for upload and download.

Yes, the system administrator can set the max number of itmes in a shared folder. This prevents the external user to upload unlimited number of files.

If a user is sent an invite link for a share, it can be forwarded. This would be comparable to giving away your password, and hopefully recepients would not do this. However, the link is time limited, and must be activated within a certain time frame. It is also valid for only one activation, once used, that invite link cannot be used again.

Yes, when the internal users shares a folder, an expiration time must be set. The system administator can set a default expiration time by number of days into the future, and also a maximun expiration time, so that a folder cannot be shared for more than a certain number of days. The internal user can set the expiration time to any time between today and maximum expiration time. Once the expiration time is reached, the share will be expired and external users can no longer access content.

Whithing the shared folder, external users will only see the content that the sharing user has read access to inside Alfresco. If upload priviliges are granted, external users can upload content to the shared folder, only if the sharing user has write access to the folder.

All access to the shared folder by external users is logged in the Alfresco audit log. This includes all actions taken by external users, such as viewing, downloading, and uploading content. We hava even built a custom audit viewer so that you easliy can moniter who and when an external user have accessed the share. This is available in the Alfresco Share interface, and can be filtered by date, user, and action taken.

No, content is streamed directly to and from the Alfresco repository server. Each request is evaluated by the external users unique token, and the content is streamed directly to the external user. Our Sharebox client server is only a proxy, and does not store any content.
